The Committees included are:
- City of Sydney Council
- Corporate, Finance, Properties and Tenders Committee
- Planning and Development Committee
- Environment Committee
- Cultural and Community Services Committee

The records are created and managed by Secretariat.
Theyare managed in Lever arch folders and arranged according to the Council 'cycle' of meetings i.e. chronolgical order of the xxx.

The Secretariat versions have more detail, some confidential papers and attachments that the printed (and online) versions don’t have. They are transferred to archives 3 years after they are compiled. Archives has been archiving two hard copies of each City and Secretariat versions of meetings papers for years. The Council and Central Sydney Planning Committee (CSPC) Minutes are also stored online from 1999 but are not a full version.

In a meeting with Secretariat to determine what they considered to be the full and accurate record of the meetings, it was decided that their yearly cycle of documentation kept in lever arch folders, were the full and accurate record of Council and its Committee meetings . The City Archivist decided that Archives should create Series 1192 to retain the full range of original Council and Committee papers as they are managed in, and as received by, Secretariat, rather than splitting them up into the previous nine series that had covered original Council and it's Committees papers.

Archives no longer receives a set of duplicate minutes from the City Printers for the public search room (as these are online from 1999, and because of space restrictions). If a member of public needs older minutes these will need to be called in from offsite storage. Duplicate papers are no longer kept in offsite storage as these are available online.

The new process will start for the archiving of Secretariat papers from 6/2/2012.
Items in consignments will no longer be listed in BOS. Insead there will be a referral to a TRIM box list sent from Secretariate and currently in folder X008213 (this also contains box lists of 2015 consignments).

Note: The Local Government Act 1993 - Sect 375 requirement for minutes is that that a full and accurate and signed version are kept- but it doesn't specify that these need to be in paper format.

The series for the Central Sydney [panning Committee will continue to be kept as a separate series as wil Handisnged Minutes of Council Meets : CRS7.

There will be some overlap between the older series content from 2012 -2013. It is yet to be decided if these older copies are to be deleted from the sytem and the boxes reclled form GRR and physically destroyed.
