The office copy is copied from the original tracing or linen by an ammonia process through a plan copying machine.

The office copy is used in the Department as a working plan to which additional details as well as annotations, resolutions of Council and file references are added. The tracing or linen number usually appears on the bottom right-hand corner of the office copy.

The majority of plans were drawn by Council, others are drawn by the Department of Main Roads, the Sydney Harbour Trust, and the Maritime Services Board, as well as contract engineers and surveyors. The plans were submitted to appropriate committees for comment and approval, and if approved, the plan was stamped with the committee name and date. If the plan was submitted to Council, the resolution date is noted. If the plan was not approved, a note to that effect is included.

The drawings depict new roadways, proposed widenings, extensions to existing roadways, proposed parks, sale of land, alteration of boundaries, proposed alignments, and splays. Details include levels, bearings, trigonometric information as well as departmental (CRS 144) and Town Clerk's Correspondence file references (CRS 34).

One part of this series was microfilmed in 1977 and then re-microfilmed in 1991 as part of the Microfilming of City Engineer's Plans Project. It was necessary to refilm the plans to include the Town Clerk's certification in order to guarantee the microfilm copies were admissible as evidence in litigation. (NB this is no longer required under the new Evidence Act). The aperture cards of the uncertified microfilm are CRS 99.

In accordance with the Disposal Schedule for City Engineer's plans, all original drawings, pre-1900 plans and plans unable to be adequately copied onto microfilm are retained in their original format and kept in this series. In addition, any plans containing details of original construction are included in this series. An undocumented culling of Plans of Proposed Survey Work by the City Engineer's Department has resulted in large gaps in the numeric sequence.

The plans are arranged numerically. Each plan has an S6 prefix which identifies it as a survey proposal, followed by a plan number (a new number is assigned to each job which could be a street or section of street) and sheet number where numerous drawings relate to the same job, for example, S6-135/1, S6/135/2). Access to these plans is by street name in CRS 504, Street Index Cards. When South Sydney City Council was created these series were divided into City of Sydney/City of South Sydney boundaries, and transferred to the appropriate plan room. Every Plan of Proposed Survey Work created by the Sydney City Council after 1988 is assigned an S6-316 prefix with consecutive sheet numbers.
